POSITION SUMMARY

Support the daily operations of the Multi-Property Sales Department by providing comprehensive administrative and organizational assistance. This role involves maintaining accurate records, managing contracts and invoices, updating systems, organizing team activities, and ensuring compliance with Marriott standards and guidelines. Act as the central point of contact for administrative tasks, supporting the Multi-Property Director of Sales & Distribution, the Complex Director of Sales – Corporate & Government, the Multi-Property Director of Revenue Management, and all sales team members. Ensure efficient communication and organizational excellence across all sales segments.

Policies and Procedures 
• Maintain confidentiality of proprietary information and protect guest privacy and company assets. 
• Adhere to all Marriott LSOPs, policies, and procedures for sales, contracts, and invoicing.
• Ensure professional appearance and compliance with Marriott brand standards. 

Sales Administration 
• Manage all administrative tasks for the sales team, including preparing contracts, filing signed agreements, and maintaining accurate records.
• Compile databases of potential accounts using collected intelligence.
• Follow up on purchase orders and ensure timely processing.
• Update and manage reports such as weekly extensions for long stays and lead tracking reports. 
• Organize and maintain the department’s filing system. 

Communication 
• Respond promptly to customer inquiries with professionalism and a customer-focused approach. 
• Draft, review, and proofread documents (e.g., contracts, memos, presentations) to ensure accuracy and compliance with Marriott standards. 
• Communicate effectively with internal teams, clients, and vendors via phone, email, or in person. 
• Take minutes during sales meetings and distribute them to relevant stakeholders. 

Organizational Support 
• Manage office organization, including ordering stationeries, updating attendance in the payroll system, and scheduling team vacation days. 
• Organize departmental meetings, team birthdays, and gatherings to promote engagement. 
• Maintain a neat, professional, and organized office environment. 
• Compile and distribute the sales team’s weekly activity updates. 

Research and Data Management 
• Conduct research on clients and accounts to support sales initiatives. 
• Attend exhibitions (e.g., DWTC) to collect customer data and identify potential accounts. 
• Perform daily in-house guest checks to identify corporate guests and set system alerts for relevant sales managers. 

Team Collaboration 
• Collaborate with all sales team members, assisting across segments, especially corporate and long stays. 
• Participate in sales blitz activities to generate leads and drive revenue. 
• Provide operational assistance on rare occasions, as required. 
• Work closely with the Director of Sales – Corporate & Government, Director of Revenue Management, and other leaders to address day-to-day needs. 

Technology and Reporting 
• Utilize Marriott systems, as well as Opera, Cvent, Knowland, Agency360, and others. 
• Prepare accurate, well-formatted presentations and Excel sheets adhering to advanced proficiency standards. 
• Learn and manage new systems, such as purchasing and payroll software, as needed.

Follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information; protect company assets. Welcome and acknowledge all guests according to company standards; anticipate and address guests’ service needs; thank guests with genuine appreciation. Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees. Comply with quality assurance expectations and standards. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.

 

PREFERRED QUALIFICATIONS 

Education: High school diploma or G.E.D. equivalent.

Related Work Experience: At least 1 year of related work experience.

Supervisory Experience: No supervisory experience.

License or Certification: None
