At GEMS School of Research and Innovation, we provide a seamless educational journey from Pre-Prep + Prep to Sixth Form, enhanced by cutting-edge technology and a forward-thinking curriculum. The Assistant Facilities Manager works closely with the School Operations Manager and other stakeholders, with responsibility for managing all aspects of school maintenance, cleaning, transport coordination, regulatory compliance, and supplier performance. The role also plays a key part in emergency preparedness and creating a safe, efficient, and supportive learning environment for our students and staff.
Key Accountabilities:
- Ensure facilities operations align with GEMS Core Values and meet safety, hygiene, and regulatory standards.
- Manage cleaning, repair, maintenance, and long-term facilities planning across the academic year and school holidays.
- Oversee preventive maintenance schedules for all essential systems (HVAC, electrical, plumbing, water, and sanitation).
- Supervise staff housing operations, ensuring resident welfare and compliance with HSE standards.
- Act as the primary point of contact for emergency response relating to campus and housing facilities.
- Coordinate transport needs for students and staff, working with STS and internal transport teams to ensure safe, timely service.
- Manage maintenance-related procurement, supplier performance, and disposal of outdated assets in line with GEMS policies.
- Lead health and safety implementation and inspections; support emergency drills and compliance protocols.
- Support the school’s commitment to operational excellence and contribute to campus improvement initiatives.
Skills
Person specifications:
- Relevant technical background or qualification in facilities management or a related field.
- Minimum 2–3 years’ experience in a similar role, ideally within a premium school or service-driven environment.
- Strong leadership and coordination skills, with the ability to manage internal teams and external contractors.
- Fluent English communication, excellent organisational ability, and attention to detail.
- Confident in multi-tasking, problem solving, and working under pressure.
- Culturally aware, service-oriented, and able to influence others effectively.
- Knowledge of local regulatory and Ministry requirements (e.g. KHDA, Civil Defence) is an advantage.
